Flex’s mission is to bring digital transformation to healthcare staffing. Like Airbnb, Uber, and Amazon, the product sets out to build a new, more efficient way for health care facilities and professionals to connect.

Brief

Flex is created for 2 different targets: The Professionals & The Facility. The client is an expert in the healthcare industry and my job is to collaborating with the product manager and translating the user goals into product features and design flows from scratch.

The delivery output are hi-fi mockups in Sketch, desktop & mobile prototypes on Invision, styleguide and icons/graphics assets on Zeplin.

User goals

Goals for professionals:
  • One universal application
  • Full visibility into work opportunities available across the market
  • Auto-notification of new openings based on specialty and interest
  • Real-time response and acceptance shift opportunities
Goals for facility:
  • Quickly find qualified professionals
  • Professionals are pre-screened to custom standards
  • Credentials, ratings and work history in one place
  • Make sure candidates comply with Federal and state employment regulations, JCAHO requirements, union agreements, etc.

Challenges

The app is specialized for healthcare professionals who have some spare time for contract works which last for a few days/weeks. The main use case is that the hospital will be in short of nurses in certain times and they need a quick solution to find a replacement. My job is to customize a digital experience that:
  • Allow maximum control over job requirements and a set of rates by departments ( a combination of base pay per hour, OT, surchages…).
  • Create an onboarding flow for the professional to complete their profile and requirements (background check, health tests, skill tests, etc…)
  • Work on dashboards, timesheets, calendars, messaging tools to improve work efficiency
PROFESSIONALS APP
Onboarding
The sign up form is designed to create a playful look. The professional needs to select his location to detect if the app is available to his area. After confirming his email, he will fill in some more additional info about his services.

The professional can take a quick glance of his ongoing assignments, discover new jobs and complete more tasks to make his profile top-star.
Openings
By default, the system will display the matched openings based on his preferences in the onboarding phase. The job duration of local ones usually lasts for a few days while the travel ones last for weeks.
View an opening and apply
The professional can quickly see the work location, the time shifts, the hourly rate and the status of each opening to decide. He can click to see more details and to see if his profile matches the job requirements
Profile
Besides the personal info, work history and education like other job listing platforms, the applicant needs to fill in other sections like the competency exams and disciplinary questionnaire to be eligible to apply for jobs. At any time, he can change his work preferences to get a better set of matched openings.
FACILITY APP
Review applicants
This is where the facility admin can review the applicants and decide who to hire.
The yellow bubbles highlight the skills of that applicant that fit with the requirements. The facility can also see who is previously hired or who has countered his offer
Create an opening
This process is divided into 4 steps: Basic info, Shifts, Rate and Preview. The admin can manually customize the shifts and the rate or just select from his pre-made rules from the Settings page.
Facility Dashboard
The main focus of the dashboard is for the facility to quickly manage his postings and check for new applicants. He can also see the hired ones and start a conversation. There are also other reminders at the right side which are: Timesheet to approve, Unread messages and Evaluations (once the job is completed)
Timesheet
The timesheet is auto generated by the system on a weekly basis. Based on the logged date, it can calculate the number of regular/OT/DT hours to see the total billing.
Admin settings
The admin can set up pre-defined rates and shifts so he can apply quickly when creating a new opening.
